By using ApexFlow AI ("we," "our," or "us"), you agree to these Terms of Service. If you do not agree, please discontinue use of our services.
ApexFlow AI provides an AI-powered communication platform for businesses, including AI phone receptionist services, AI text messaging, appointment booking, lead follow-up, customer inbox management, and business knowledge configuration.
ApexFlow offers subscription plans at the following price points:
Billing is processed on a monthly basis. Your subscription begins on the date your paid plan is activated and renews automatically each month until canceled.
ApexFlow may offer a guided trial period to test the service with your business information before activating a paid plan. During the trial, you will not be charged. We will not charge your card without your clear permission. Trial terms, including duration and included features, will be communicated at the start of the trial.
You may cancel your subscription at any time. Cancellation takes effect at the end of your current billing cycle. No further charges will be made after cancellation.
Refunds are handled on a case-by-case basis. If you believe you were charged in error, contact us at sterlingtvickers@gmail.com within 30 days of the charge.
Phone usage, text usage, third-party services, custom integrations, and unusually high volume may affect final pricing. The "Unlimited" plan is subject to fair-use limits. We reserve the right to contact businesses whose usage significantly exceeds normal patterns to discuss appropriate plan adjustments.
ApexFlow integrates with third-party services including telephony providers, AI model providers, payment processors, and calendar systems. We are not responsible for outages, changes, or limitations imposed by these third-party services. Businesses are responsible for any fees charged by third-party services that are not included in the ApexFlow subscription.

ApexFlow strives to provide reliable service but does not guarantee uninterrupted availability. The service may be temporarily unavailable due to maintenance, updates, or factors beyond our control. We are not liable for any losses resulting from service interruptions.
The ApexFlow AI assistant is a software tool that makes decisions based on business rules and customer context. It is not human, does not have consciousness, and may occasionally produce responses that are incomplete or inaccurate. The AI always identifies itself as an AI assistant. Businesses should review AI conversations periodically and adjust their knowledge base as needed.
ApexFlow is not a replacement for emergency services. The AI may advise customers to contact emergency services (such as 911) when it detects potentially dangerous situations. However, the AI cannot guarantee that emergencies will be detected or handled correctly. Businesses should have their own emergency protocols in place and should not rely solely on ApexFlow for safety-critical situations.
ApexFlow does not confirm appointments unless the business's calendar has actually accepted them. Appointment statuses include: Requested, Pending Confirmation, Confirmed, Rescheduled, and Canceled. The AI uses "Your preferred time has been recorded. The company will confirm availability." until confirmation is verified. ApexFlow is not liable for double bookings or scheduling errors caused by calendar misconfiguration.
By providing a phone number to a business using ApexFlow, customers consent to receive text messages related to their inquiry or appointment. Customers may opt out at any time by replying STOP to any message. Businesses must obtain proper consent before sending automated marketing texts through the platform.
If call recording is enabled, businesses are responsible for complying with all applicable laws regarding call recording consent, which may vary by jurisdiction. Businesses must inform callers that calls may be recorded, where required by law. ApexFlow is not responsible for a business's failure to comply with call recording consent requirements.
Our handling of personal information is described in our Privacy Policy, which is incorporated into these Terms by reference.
We reserve the right to suspend or terminate accounts that violate these Terms, engage in prohibited use, or create security risks. We will make reasonable efforts to notify the account holder before suspension, except in cases of urgent security concerns.
ApexFlow AI is provided "as is" without warranties of any kind. We are not liable for missed messages, lost leads, scheduling errors, or any damages arising from the use of our services. Our total liability shall not exceed the amount paid by the business in the three months preceding the claim.
We may update these Terms at any time. Continued use of the service after changes constitutes acceptance of the updated Terms.
